This Privacy Policy describes how Sindarin Ventures, Inc, a Delaware corporation ("Company," "we," "us," or "our"), collects, uses, and shares information in connection with our conversational AI platform and related products, including FetchDesk AI, and our websites and apps (together, the "Services").
Our Services enable businesses to deploy AI-powered voice agents ("AI Personas") that interact with their end users. This policy covers information we collect through the Services, including audio data, conversation transcripts, account information, what people send us through our website forms, and related metadata.
For caller audio, transcripts, and other conversation content that we process on behalf of a business customer ("Call Data"), we act as a processor (or "service provider") under our Data Processing Addendum. For business-account, billing, product-analytics, and website information, including what you send us through our website forms, we act as a controller (or "business"). If you do not agree with this Privacy Policy, do not use the Services.
Our Services stream audio data to and from end-user devices (microphone input and speaker output) to enable real-time conversational AI interactions. By default, audio data is processed in real-time and is not stored on our servers. Audio recordings are only retained if you or your business customer has explicitly opted in to audio storage.
We may generate text transcriptions of conversations to facilitate AI responses. By default, conversation transcripts are stored. Transcripts will not be retained if you or your business customer has disabled transcript storage.
We automatically collect certain technical information when you use our Services, including:
Some of our websites may use Google Analytics to help us understand visits. Where it runs, it sets Google's cookies and sends information about your visit to Google, which handles it under its own terms. See How Google uses information from sites or apps that use its services. You can opt out with Google's browser add-on. We don't use Google Analytics in the FetchDesk app.
For our business customers, we collect account registration information such as company name, contact details, billing information, and account credentials (including authentication data processed by Auth0).
When you contact us or ask for a resource through a form on one of our websites, we collect what you enter, such as your name, email address, phone number, company, the software you use, and your message. We use it to reply to you and follow up: we email it to our team, and we may keep it in our sales records.
We may use the information we collect to:
When conversation data storage is enabled by a business customer, we may also use stored data to provide analytics and insights to that customer and to support quality assurance.
We do not use identifiable Call Data to train or fine-tune our models. We may use de-identified or aggregated data to improve the product.
By default, our Services do not store user audio recordings. Audio data is processed in real-time to generate responses and is not persisted to our servers unless audio storage has been explicitly enabled. Conversation transcripts and related metadata are stored by default but can be disabled by business customers.
Business customers may configure data storage for their deployments:
When storage is enabled, data is retained according to the business customer's configuration or applicable enterprise agreement. Business customers may request deletion of their data at any time.
Technical logs and performance data may be retained for a limited period for operational purposes. However, when transcript storage is disabled, logs and other data that may contain personally identifiable information (PII) or conversation content are also omitted or redacted. Business account information is retained for the duration of the customer relationship and as required by law.
We keep what you send through our website forms for as long as we need it to reply to you and follow up. You can ask us to delete it at any time.
We use third-party service providers to help deliver our Services. These providers process data as needed to provide their services under their terms. Categories of providers include:
A list of subprocessors is in our Data Processing Addendum. We do not ourselves use identifiable Call Data to train our models. Third parties process data as needed to provide the Services under their terms.
Our Services operate as a business-to-business (B2B) platform. Our primary customers are businesses that deploy AI Personas to interact with their own end users.
Business customers who deploy our Services are responsible for:
If you are an end user interacting with an AI Persona deployed by a business, please contact that business directly for information about how your data is handled. The business customer controls the data storage settings and privacy practices for their deployment.

In the event of any conflict between this Privacy Policy and an enterprise agreement, the terms of the enterprise agreement will prevail for that customer.
Depending on your location and applicable law, you may have certain rights regarding your personal information, which may include access, deletion, correction, portability, or objection. Contact us using the information below. We may decline requests as permitted by law. These rights include anything you've sent us through our website forms.
For end users: Please contact the business that deployed the AI Persona you interacted with to exercise your data rights, as they control the data storage settings for their deployment.
For business customers: Contact us directly using the information below to exercise your data rights or manage your data storage settings.
